IntellinetStaff® wins IT Project of the Year with Republic

I am delighted to let you know that Intellinet's Workforce Management solution, IntellinetStaff®, has won IT Project of the Year at Retail Systems Awards, with Republic. The award recognises a retailer who has delivered a successful IT project into its operations.

Republic, with 93 stores, is the UK's number one independent fashion retailer for men & women. Republic chose IntellinetStaff® to automate and improve the delivery and accuracy of employee timesheet and absence data into their existing payroll and to improve control over scheduling staff deployment.

Winner at Retail Systems 2009 awards

As we all know, retailers must seek to become more efficient and control their costs. With 2500 employees at Republic this became a key focus even before the credit crunch hit hard.

The project itself was a true business change project, which impacted on Operations, HR, Payroll, IT and Finance, and resulted in the delivery of a core employee management and timesheet solution, based on Republic's business rules, within a 6 month timescale. This included not only a system implementation but also a re-definition of business rules and processes, even covering the introduction of contracted hours across for all part time colleagues, after a consultation period.

The following key benefits met all the project requirements

  • Cost saving of 2.5% on current payroll costs which equates to £349,000
  • Full compliance and consistency across all stores based on the company's business rules with authorisation rules for exceptional circumstances
  • Real time data availability across the stores, area, region and company to manage employees and report on KPIs immediately for planned costs or running costs
  • End to end business automation,which has removed the need for paper forms thus reducing administration and freeing up store managers to focus on commercial activities
  • Greater visibility of staff costs in real time providing the focus and ability to ensure tighter controls over the deployment of staff at normal and peak trading times
  • Improved Holiday and Absence management which has resulted in more accurate payroll and improved staff management in store
  • Improved Staff Scheduling which provides a fast and effective mechanism to deploy staff based on availability, cost, workload plans and skill set

After the first quarter the system and processes are really adding value to the business operation and have reduced payroll processing days during pay week down from 4 to 1, reducing stress and pressure within the department.
